Terms & Conditions

1. Registration and Enrollment

• All registrations are subject to availability and confirmation by Forest School Colombo
• Parents/guardians must provide accurate and complete information during registration
• We reserve the right to refuse enrollment without stating reasons
• Registration is only confirmed upon receipt of full payment or deposit (as specified)
• Participants must meet the age requirements specified for each program

2. Payment Terms

• Program fees must be paid in full before the program start date unless otherwise agreed
• Payment can be made via bank transfer, cash, or other approved methods
• Early bird discounts are available for payments received by specified deadlines
• All fees are in Sri Lankan Rupees (LKR) or US Dollars (USD) as specified
• Additional charges may apply for optional activities, extended hours, or special requests

3. Cancellation and Refund Policy

• 30+ days before program start: Full refund minus 10% administrative fee
• 15-29 days before program start: 50% refund
• Less than 15 days before program start: No refund
• No-shows: No refund will be provided
• All refund requests must be submitted in writing via email
• Refunds will be processed within 14 business days
• We reserve the right to cancel programs due to insufficient enrollment or unforeseen circumstances, in which case a full refund will be provided

4. Health and Safety

• Parents must disclose any medical conditions, allergies, or special needs during registration
• Parents are responsible for ensuring their child is in good health to participate
• We reserve the right to exclude children who are unwell or pose a risk to others
• Emergency contact information must be accurate and up-to-date
• Parents must inform us immediately of any changes to health or emergency contact details
• We maintain appropriate insurance coverage for our activities
• All staff are trained in first aid and emergency procedures

5. Behavior and Conduct

• Participants are expected to behave respectfully towards staff, other children, and the environment
• We follow a positive behavior management approach
• We reserve the right to exclude participants who consistently display dangerous or disruptive behavior
• No refund will be provided for exclusion due to behavioral issues
• Parents will be contacted immediately in case of serious behavioral concerns

6. Photography and Media

• We may take photographs and videos during programs for documentation and promotional purposes
• By registering, you consent to the use of your child's image in our marketing materials
• If you do not consent, please inform us in writing before the program starts
• Children's names will not be published alongside images without explicit parental consent

7. Liability and Insurance

• Forest School Colombo takes all reasonable precautions to ensure participant safety
• Parents acknowledge that outdoor activities carry inherent risks
• We are not liable for loss, damage, or theft of personal belongings
• Parents are responsible for their child's belongings and should label all items
• We maintain public liability insurance and professional indemnity insurance
• Parents should ensure they have appropriate personal insurance coverage

8. Weather and Program Changes

• Programs run in all weather conditions unless deemed unsafe
• We reserve the right to modify activities based on weather conditions
• In case of severe weather or emergencies, programs may be cancelled or postponed
• Parents will be notified of any significant changes as soon as possible
• Alternative dates or credit vouchers may be offered for cancelled programs

9. Drop-off and Pick-up

• Children must be signed in and out by an authorized adult
• Only individuals listed on the registration form may pick up children
• Photo ID may be required at pick-up for safety verification
• Late pick-up fees may apply after a 15-minute grace period
• Parents must notify us in advance of any changes to pick-up arrangements

10. Communication

• We primarily communicate via email and WhatsApp
• Parents are responsible for checking communications regularly
• Important updates and reminders will be sent before each program
• Parents can contact us during business hours for queries or concerns

11. Data Protection

We collect and process personal data in accordance with our Privacy Policy. All information provided during registration is kept confidential and used only for program administration.

12. Force Majeure

Forest School Colombo shall not be liable for failure to perform its obligations due to circumstances beyond our control, including but not limited to natural disasters, government restrictions, pandemics, or civil unrest.

13. Changes to Terms

We reserve the right to modify these Terms and Conditions at any time. Changes will be posted on our website and will apply to all future registrations.

14. Governing Law

These Terms and Conditions are governed by the laws of Sri Lanka. Any disputes shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
